Your information, handled with care.

You should know what happens to your information before you share it. This page explains what this website collects, why we use it and how to contact us about it.

Last updated: 21 October 2026.

Who is responsible

Conflict Services is operated by Shiv Martin Consulting Pty Ltd. For questions about this website or your information, email our practice team at contact@shivmartin.com and mention Conflict Services.

What we collect

When you use a form on this website, we collect the details you choose to give us. Depending on the form, that can include:

  • your name, email and phone number
  • your business or firm name, and your role
  • a short description of your situation
  • your answers to the Conflict Check
  • the page you enquired from, campaign tags and a unique enquiry reference

We ask you to leave names of other people out of your first message. Please don't send us health information or other sensitive details through the website.

Our hosting provider also processes technical information needed to serve and protect the website, such as IP addresses, browser information, access times and error records. You can browse the public pages and see a Conflict Check result without supplying your name or email.

How we use it

  • to respond to your enquiry and arrange a triage call
  • to open the guide or checklist you asked for
  • to check for conflicts of interest before a panel member is matched to a matter
  • to send occasional practical notes on handling conflict at work, if you signed up for a resource
  • to understand which campaigns lead to enquiries and, when the enquiry is followed up, paid work

You can unsubscribe from those notes at any time, using the link in any email we send.

Who sees it

Access is limited to the practice team and authorised providers who support the website and enquiry handling. Relevant information may be shared with a panel member to check suitability and conflicts of interest or to arrange work you have agreed to. We don't sell or rent personal information.

Website hosting and storage

The website is hosted by Vercel. When you send a form, it is passed to our enquiry system, which our marketing provider, 3P Digital, runs for us on a private server in Malaysia. That system keeps the record of your enquiry and emails it to our practice team through Resend, an email delivery service. Hosting, email delivery and support can involve processing outside Australia, including in Malaysia and the United States. You can ask our practice team for information about the providers handling your enquiry.

To send the confirmation or resource you asked for, your first name and email address are added to our email service, EmailOctopus, which may process them outside Australia. If you signed up for the guide, the checklist or your Conflict Check result, you'll also get occasional practical notes; every email has an unsubscribe link. Enquiry and referral contacts only receive emails about their request. We don't send the details of your situation to EmailOctopus.

We keep enquiry information for handling your request and any work that follows, and where needed for business records or legal obligations. Hosting logs have their own retention settings. Contact us if you want to ask about a particular record or request deletion.

If you call us

Our phone line may be answered by an AI assistant. It tells you it is an AI at the start of the call, and you can ask for a person at any time. It asks for your name, how to reach you and a short, general description of what your call is about, and it doesn't ask for details of anyone else. Calls may be recorded and transcribed by our phone provider and the AI service that powers the assistant, which can involve processing in the United States. Names, contact details and similar information are removed from stored transcripts after the call, and call records are deleted after 30 days.

How we use AI

We use AI tools to help write our articles and marketing material, to answer the phone as described above, and to prepare internal reports on how many enquiries we receive and where they come from. Those reports use counts and statuses, not the details of anyone's situation. AI doesn't make decisions about you: every enquiry is read and answered by a person, and a person decides whether and how we can help.

Contacting businesses

We may email a business about our services using an address the business publishes on its own website, where our message relates to the role of the person or inbox we write to. We keep a record of where and when the address was published. Every email identifies us and has an unsubscribe link, which we act on within five business days. We don't contact government bodies this way, or anyone who has asked us not to.

What this browser remembers

Browser storage remembers when you have opened a guide or checklist, so you are not asked to sign up again on the same browser. It stores an unlocked flag, not your name or email. Clearing your browser's site data removes it.

Temporary storage keeps campaign tags and, if you choose to take them into an enquiry, your Conflict Check answers. These are used for up to 30 minutes and are removed when the browser tab session ends. You can remove carried answers in the request form. We do not copy arbitrary URL parameters, search terms or the full referring page address into your enquiry.

Audience analytics

We use Google Analytics 4 to understand page visits, use of the Conflict Check, submitted enquiries and confirmed paid work. Google receives a pseudonymous browser identifier, page paths and limited event information, and may process it outside Australia, including in the United States. Analytics cookies expire after 90 days unless refreshed by a later visit. We do not enable advertising personalisation or Google signals.

Names, email addresses, Conflict Check answers and descriptions of disputes are not included in our analytics events. Confirmed outcomes can be linked to the original enquiry by its reference and browser identifier. You can switch audience analytics off below without affecting the enquiry form or resources.

Audience analytics is off for this browser. A Do Not Track browser setting also disables it.

What stays confidential

What's said in a mediation is handled under the confidentiality terms explained to everyone before the session starts. This page covers the information you give us through the website.

Keeping it secure

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, and we keep it only as long as we need it.

Access and correction

You can ask to see the information we hold about you, or ask us to correct or delete it. We aim to handle requests fairly and explain any information we need to confirm your identity.

Email contact@shivmartin.com with the subject "Conflict Services privacy request". Tell us whether you want access, a correction or deletion, or want to raise a concern. Please avoid including sensitive details in your first email; we can agree on an appropriate way to provide them.

If you are concerned about how we have handled your information, contact us first so we can investigate and respond. You can also find information about privacy complaints at the Office of the Australian Information Commissioner.
